GLS Berlin: Terms and Conditions

Booking &confirmation

• You’ll receive a booking confirmation by email within 24 hours (Mon–Fri).
• If you need original documents or visa support, we can send them by express courier (extra charge, non-refundable).
• Changes before arrival are possible (subject to availability) for a €50 fee.

 

General Conditions

• No tuition takes place on German public holidays. Lessons missed due to public holidays are not replaced/not refunded except one-to-one courses: Days missed will not be invoiced.
• GLS is not responsible for courses and programs cancelled due to force majeure.
• Course Adjustments: 
  If an adult intensive course has fewer than 5 participants, GLS may shorten double lessons from 90 to 60 minutes. For kids and teen summer camps, the same applies if a group has fewer than 4 students.
• If a telc afternoon exam preparation course has fewer than 4 participants, GLS may shorten the course from 30 to 20 lessons à 45 min.
• If an evening course has fewer than 5 participants, GLS may shorten the course load from 20 to 16 lessons à 45 min.
• An evening course will only take place if there are at least 3 bookings.
• During summer, one-to-one lessons may also be scheduled in the afternoons.
• GLS publishes special offers on a regular basis. If there is more than one special offer at any given time, only one offer is applicable, offers can't be combined.

 

Complaints

• All complaints must be made to GLS directly during the course in Berlin.
• This agreement shall be governed by the laws of Germany, and venue for any possible legal proceeding arising due to the administration of this agreement shall be in Berlin, Germany.

 

Payments

After your program has been confirmed, GLS will send your invoice by email. If you book more than 4 weeks in advance, a deposit of €200 is required at the time of booking. The full course fee is due no later than 4 weeks before your course starts — or earlier if visa documents are needed.

Please make sure that payments are sent without bank charges to the beneficiary. Any bank fees deducted by your bank will be charged to you upon arrival. You can pay conveniently by bank transfer or credit card (Visa or MasterCard).

Cancellation and Refund Policy

Cancellations must be made in writing. Refunds are processed within 30 days and paid only to the person or agency who made the original payment. GLS will charge the following cancellation fees (1) (2):

• 2 weeks or more prior to arrival: 200 Euro cancellation fee, rest refunded
• Less than 2 weeks prior to arrival: 30% of the total amount as cancellation fee, but at least 200 Euro, rest refunded
• If a visa is rejected and you provide proof of the rejection (e.g. the visa refusal letter), GLS will refund the full amount except a) a handling fee of 200 Euro and b) the express courier fee if visa support documents were requested by express courier istead of standard mail.
• No refunds will be made after classes/programs begin with respect to tuition fees, placement fees (internship, high school) and junior summer camps.
• If adult students want to change accommodation arrangements after arrival, they must give GLS 2 weeks notice. All funds paid for accommodation after these 2 weeks will be refunded, less a handling fee of EUR 50. There are no refunds or accommodation changes on stays for 4 weeks or less.
• Refund policy in case of course interruptions:
  If you´d like to interrupt your course and take a break, the following rules apply:
  a) If you just take a day or two off, no problem. Just let your teacher know. There will be no refund or individual replacement for the days missed.
  b) If you want to pause for a full week, i.e. MON - FRI (or 2 or 3 full weeks), please announce your break in the GLS office (!) at least 7 days in advance. If you announce your break at least 7 days in advance you can add the missed week(s) to your stay or get a respective credit note. Please note: This policy does not apply to high season in summer
• Cancellation for telc exams:
  • Cancellation more than 16 days prior to the exam date: 30 % cancellation fee, rest refunded. Cancellation less than 16 days: no refund
  • Absence due to illness on the exam date: 30 % cancellation fee GLS + 14 € cancellation fee telc on presentation of doctor´s certificate

(1) For payments made by Credit Card (American Express, Visa, Mastercard): in addition to the cancellation fee, there is a credit card fee: 2.5% of the program fee, plus 19% VAT on the 2.5%

(2) Not valid for High School programs und University Pathway Germany.
a) High School Germany - the following cancellation fees apply:
- after signing of contract: 10 % of the total amount
- up to 4 months prior to arrival: 20 % of the total amount
- up to 3 months prior to arrival: 30 % of the total amount
- up to 2 months prior to arrival: 40 % of the total amount
- up to 1 month prior to arrival: 50 % of the total amount
 

The contractual partner reserves the right to prove that the reasonable compensation to which GLS is entitled is significantly lower than the compensation fee demanded by GLS. 

b) University Pathway Germany - the following cancellation fees apply:
- 4 weeks prior to arrival: 830 €
- less than 4 weeks: 30 % of the total amount

 

Your Cooperation

By enrolling, you agree to respect our policies to help everyone enjoy a positive and focused learning environment.

• Please be punctual. We cannot admit students who arrive more than 10 minutes late after class starts.
• Regular attendance is important for your progress and the class’s success. You need at least 80% attendance to receive a GLS certificate.

For junior students in summer camps and high school programs:

• GLS may expel students for serious misbehavior, including but not limited to: threatening others, breaking local laws, ignoring curfew rules, using illegal drugs or alcohol, smoking where prohibited, or damaging school or accommodation property.
• In such cases, no refund will be given, and students must cover their own travel home.
• Please provide all relevant medical information before arrival. If a student has a serious medical condition that wasn’t reported and requires extra care, they may be sent home without refund and at their own expense.

 

Photos and Videos

All participants agree that photo and video recordings may be made during their stay at the campus, the camps and during activities and may be published by GLS.

 

Insurance

GLS is not responsible for accidents and illness of a student during the courses. In any case the liability of GLS is limited to the triple amount of the course fee for all damages.

Students are responsible for any and all damages they cause and must directly compensate the owner of the property involved. GLS offers a combined travel insurance package including comprehensive health, personal liability, accident, baggage insurance for damages incurred abroad (available at a surcharge, already included in junior summer camps).
